1. Introduction

Trenazon LLC ("Trenazon," "we," "us," or "our") operates ScopeEngine, an AI-powered proposal and contract drafting platform. This Privacy Policy explains how we collect, use, store, share, and protect information when you access or use ScopeEngine at scopeengine.ai and any related services, including our mobile applications.

By creating an account or using ScopeEngine, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the platform.

ScopeEngine is a drafting tool, not a law firm. This Privacy Policy governs data practices on the ScopeEngine platform and does not constitute legal advice.

2. Information We Collect

2.1 Information You Provide Directly

  • Account information: Name, email address, business name, phone number, and password when you register.
  • Billing information: Payment method details processed securely through our third-party payment processor. Trenazon LLC does not store full credit card numbers on its servers.
  • Profile and business information: Company name, trade, license numbers, service areas, and other business details you enter to configure the platform.
  • Client data: Client names, contact details, project descriptions, scope of work information, pricing, and other details you enter when building proposals or contracts.
  • Uploaded files: Documents or other files you upload to the platform in connection with a proposal or contract.
  • Communications: Any messages, support requests, or feedback you send to Trenazon LLC.

2.2 Information Collected Automatically

When you use ScopeEngine, we automatically collect:

  • Usage data: Features accessed, pages visited, actions taken, proposals created, and time spent on the platform.
  • Device and technical data: IP address, browser type and version, operating system, device identifiers, and screen resolution.
  • Log data: Server logs, error reports, and performance data.
  • Cookies and tracking technologies: As described in our Cookie Policy.

2.3 Information from Third Parties

We may receive information from:

  • Payment processors: Transaction status and billing confirmations.
  • Analytics providers: Aggregated behavioral data about platform usage.

3. How We Use Your Information

We process your personal data for several purposes, each grounded in a lawful legal basis. The core operations of providing and operating the ScopeEngine platform, processing payments and managing subscriptions, and generating AI-assisted proposals and documents based on your inputs are all carried out on the basis of contract performance, as they are necessary to deliver the service you have agreed to use. Sending transactional communications such as receipts and account alerts also falls under this basis.

Where we have a legitimate interest, we use your data to respond to support requests, improve the ScopeEngine platform and its AI-assisted features, and detect and prevent fraud or abuse. These activities help us maintain the quality, security, and reliability of our service.

We also process certain data to comply with applicable legal obligations. Additionally, we may send you product updates and marketing communications where permitted by your consent or our legitimate interest, and you may opt out of these at any time.

Sharing your content with our third-party AI provider, as described in Section 5, is based on your explicit consent.

4. AI Training and Your Data

4.1 Client Data is Not Used for AI Training. Client names, business names, contact information, and any personally identifying information belonging to you or your clients are never used to train ScopeEngine's AI models or any third-party AI models.

4.2 Anonymized Aggregate Data. Trenazon LLC may use anonymized, non-identifiable, aggregated data, such as the types of trades or project categories most commonly used on the platform, to improve the quality of AI-assisted features and platform functionality. This data cannot be traced back to any individual user or client.

4.3 Proposal Content. The specific text of proposals you generate, including client-specific details and project scopes, is treated as confidential and is not shared with or used to train models in any form that could identify your clients or your business.

5. Third-Party AI Processing (Anthropic)

ScopeEngine's AI-assisted features are powered by Claude, an artificial intelligence model provided by Anthropic, PBC ("Anthropic"), a third-party AI provider. When you use these features, certain content that you provide is transmitted to Anthropic for processing.

5.1 What Data Is Shared With Anthropic. When you use an AI-assisted feature, we send the following to Anthropic:

  • Text you enter: Messages you type into the AI proposal chat, and project descriptions, scope of work details, pricing, and other proposal or contract information you enter.
  • Files you upload: Documents or other files you upload for use in an AI-assisted feature, including any text contained in them.
  • Business and client details included in that content: Where your proposal or contract content includes your business name, trade, or service area, or your client's name, contact details, or project address, that information is included in what is sent.
  • Conversation context: Earlier messages and drafts in the same proposal session, so that the AI can respond consistently.

We do not send your password, payment card details, or billing information to Anthropic.

5.2 What the Data Is Used For. The text and files we send to Anthropic are used solely to provide the AI-assisted features you request, namely to:

  • Draft, revise, and refine proposal and contract text.
  • Interpret and summarize the content of files you upload, and extract scope, pricing, or project details from them.
  • Respond to your questions and instructions within the AI proposal chat.

Anthropic processes this content on our behalf to generate a response, which is returned to your account. We do not use this content for advertising.

5.3 How Anthropic Handles the Data. We access Anthropic's models through its commercial API. Under Anthropic's commercial terms, content submitted through the API is not used to train Anthropic's models by default. Anthropic may retain submitted content for a limited period in accordance with its own policies. Anthropic's handling of data is governed by its own terms and privacy policy, available at anthropic.com/legal/privacy.

5.4 Your Consent and Control. We will ask for your explicit permission within the app before any of your content is sent to Anthropic for the first time. AI-assisted features will not send your content to Anthropic unless you have granted this permission. You may withdraw your permission at any time in the app's settings or by contacting legal@scopeengine.ai. If you withdraw permission, AI-assisted features will be unavailable, but you may continue to use the non-AI features of ScopeEngine. Withdrawing permission does not affect content previously processed.

5.5 Avoid Unnecessary Personal Data. Because content you enter may be sent to Anthropic, we encourage you to include only the information needed to create your proposal or contract, and to avoid uploading files that contain sensitive personal information that is not required.

6. How We Share Your Information

Trenazon LLC does not sell your personal information. We share data only in the following circumstances:

6.1 Service Providers. We engage trusted third-party vendors to operate the platform, including:

  • Cloud hosting and infrastructure providers
  • Payment processors
  • SMS and email delivery services
  • Analytics and error-monitoring services
  • A third-party AI provider (Anthropic), as described in Section 5

These providers are contractually bound to process data only on our behalf and in accordance with our instructions.

6.2 SMS and Email Communications. Mobile phone numbers, email addresses, and SMS/email opt-in consent collected for the purpose of sending proposal, invoice, and account notifications are never shared with third parties or affiliates for marketing or promotional purposes. This information may be shared only with subcontractors or outsourced service providers strictly necessary to deliver the SMS and email communications described in this policy (such as our SMS/messaging and email delivery providers), and only for that purpose.

6.3 Legal Requirements. We may disclose your information if required to do so by law, court order, or government authority, or when we believe disclosure is necessary to protect the rights, safety, or property of Trenazon LLC, our users, or the public.

6.4 Business Transfers. In the event of a merger, acquisition, or sale of all or substantially all assets of Trenazon LLC, your information may be transferred as part of that transaction. You will be notified via email if such a transfer materially changes how your data is handled.

6.5 With Your Consent. We may share your information for other purposes with your explicit consent.

7. Data Retention

We retain your account data for as long as your account is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods:

  • Account and billing data: Retained for a minimum of 7 years for tax and legal compliance.
  • Proposal and document data: Retained for the duration of your account plus 7 years, or as required by law.
  • Usage logs: Retained for up to 12 months.

Content sent to Anthropic is retained by Anthropic in accordance with its own retention terms, as described in Section 5.3.

You may request deletion of your account and associated data at any time (see Section 11). Some data may be retained beyond your request to satisfy legal obligations.

8. Data Security

Trenazon LLC implements industry-standard technical and organizational measures to protect your data, including:

  • Encryption of data in transit (TLS/HTTPS)
  • Encrypted storage for sensitive data at rest
  • Access controls limiting data access to authorized personnel only
  • Regular security reviews and monitoring

No method of transmission over the internet is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security.

9. Cookies

ScopeEngine uses cookies and similar technologies as described in our Cookie Policy, which is incorporated into this Privacy Policy by reference. You can manage cookie preferences through your browser settings or the cookie settings available on the platform.

10. Third-Party Links

ScopeEngine may contain links to third-party websites or services. Trenazon LLC is not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.

11. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data, subject to legal retention requirements.
  • Portability: Request a portable copy of your data in a common format.
  • Opt-Out of Marketing: Unsubscribe from marketing emails at any time using the unsubscribe link in any marketing email, or by contacting us directly.
  • Objection: Object to certain processing activities based on legitimate interest.
  • Withdraw AI Consent: Withdraw your permission for sharing content with our third-party AI provider at any time, as described in Section 5.4.

12. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act ("CCPA"):

  • The right to know what personal information we collect, use, disclose, and sell.
  • The right to request deletion of your personal information.
  • The right to opt out of the sale of personal information. Trenazon LLC does not sell personal information.
  • The right to non-discrimination for exercising your CCPA rights.

13. Other U.S. State Privacy Rights

Residents of certain U.S. states outside California may have additional rights under their state's privacy laws, including but not limited to the Virginia Consumer Data Protection Act, the Colorado Privacy Act, the Connecticut Data Privacy Act, the Utah Consumer Privacy Act, the Oregon Consumer Privacy Act, the Texas Data Privacy and Security Act, and similar laws in other states as they take effect.

Depending on your state of residence, you may have the right to:

  • Confirm whether Trenazon LLC is processing your personal information.
  • Access the personal information we hold about you.
  • Correct inaccuracies in your personal information.
  • Request deletion of your personal information, subject to legal retention requirements.
  • Obtain a portable copy of your personal information.
  • Opt out of the sale of personal information, the use of your personal information for targeted advertising, and certain profiling in furtherance of decisions that produce legal or similarly significant effects. Trenazon LLC does not sell personal information and does not use your personal information for targeted advertising.
  • Appeal a decision regarding your privacy request, where required by applicable state law.

To exercise any of these rights, contact us at legal@scopeengine.ai. We will verify your request and respond within the time period required by applicable law. We will not discriminate against you for exercising any privacy right.

14. Children's Privacy

ScopeEngine is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected data from a minor, contact us immediately at legal@scopeengine.ai and we will delete it promptly.

15. Changes to This Policy

Trenazon LLC may update this Privacy Policy from time to time. We will notify you of material changes via email or a prominent notice on the platform at least 30 days before the changes take effect. Continued use of ScopeEngine after the effective date constitutes acceptance of the updated policy.
